Job Description

Traffic Clerk

Location: Port Neches, Tx

Description:

Coordinates and enters shipments or receipts in SAP or other programs, secures carriers, schedules activities, prepares paperwork, & communicates effectively with Customer Service, Business Centers, carriers/railroads and plant personnel to coordinate activities.
  • Receive and process receipts and/or sales orders
  • Generate shipping documents and schedules
  • Maintain the completed bill of lading files in compliance with corporate retention guideline
  • Prepare and maintain reports in Microsoft Excel
  • Establish and maintain effective relationships with customers (railroads, truck carriers, business centers, and plant personnel)
  • Essential functions require presence in the workplace on a regular basis and an ability to work extra hours if needed. If applicable, ability to work overtime may be needed to ensure required staffing capacity to meet daily production objectives.
  • Work collaboratively with team members with different backgrounds and perspectives.
  • Assists other employees in accomplishments of company goals. Follows instructions and performs other duties as may be assigned by supervisor.
  • Participates in Environmental, Health, & Safety initiatives as set forth by the company. Participates in and completes company required training programs.
Job Duties:
MIGO Inbound Trucks (Raw Material) – This paperwork is brought in by the carriers and then gate weighs them in and paperwork is sent to traffic next day be entered in SAP.

Monthly Scorecard – This information is collected from the packets sent back from gate and it is used for KPI's.

Truck Tracker – Demurrage spreadsheet.

Approving TONU (Truck Orders Not Used)

Batching Orders – Batch number is manually entered in bulk loading and any special instructions.

PGI – Complete day after shipping, need weight ticket for all these to complete. Huntsman, Sulfidic Caustic, Alcohol orders.

Checks Weights on Orders from Previous Day – Makes sure orders are completed and weights are correct. This helps with month end close to ensure orders were completed correctly.

Truck Schedule – Prints truck schedule which is checked off against the pre-load packets and report ran in SAP ZTM533CN and puts paperwork in the lobby.

Paper Ordering – Order paper from the whse for the main gate and traffic printers, enters work orders for Ricoh printers.

Rail Clerk – Prints reports for TGS and puts in the lobby for them to pick up to be able to spot cars at night.

Signed BOL Requests – Customer service/corporate logistics and/or carrier will ask for the signed copy of BOL which is filed in traffic is the only place that has this paperwork.

Missed Shipment Report (ZTM533CN) – This is run and compared to what was supposed to ship to what actually shipped. We send out emails to customer service, unit and planners and follow up with carrier as to why order was missed. This report is used to help complete the PNO-PAT report that is sent out each day.

Intra-Plant Shipments – Paperwork is coordinated between the unit/traffic and carrier.

Truck Shipment Packets:
Put packets together for truck shipment which include the below:
  • 2 copies preload sheet
  • Driver Form – information filled out by the gate
  • ERG
  • MSDS – when needed
  • BOL – we pre-print them if SAP or network go down, we can still ship the truck. If there is a red light and they cannot PGI the shipment we can still ship the truck with a pre-printed BOL.
  • Stamp preload sheet pink or green (this tells the gate if driver needs to wait on COA or not)
Filing Paperwork Received from the Gate:
Includes:
  • Raw material BOL, unloading sheets
  • Truck packets that are sent back from the gate – which we use this information to fill out the demurrage tracker, keep copy of wash out certificates, driver forms, loading sheet that the unit fills out which is only one copy of.
  • File Fitness – we keep 3 years of files and then box it up and dispose of it during the provided time.
Skills:
SAP, Bourque/Yardmaster, Microsoft, Excel, experience in logistics, shipping and receiving would be good.
