Description:
To negotiate, execute, and manage IT software, subscription, SaaS, cloud, technology services, and software maintenance agreements, along with supportive contract documentation. This includes, but is not limited to, Statements of Work (SOW), Change Orders, Software Licensing Agreements, Software Renewal Agreements, Master Service Agreements (MSAs), Terms and Conditions (T&Cs), Purchase Orders, and Work Directives related to technology and software solutions. Additionally, this role involves handling software renewals, vendor relationships, contract compliance, and related contract documentation on behalf of the company.
Essential duties and responsibilities:
- Negotiate, issue, execute, and manage IT software agreements, SaaS subscriptions, cloud services agreements, software licensing agreements, maintenance agreements, software renewals, and technology service contracts, including supporting documentation such as SOWs, Change Orders, T&Cs, and purchase orders.
- Develop, review, and support the fulfillment of contract requirements, ensuring compliance with internal procedures and external regulations.
- Interface with internal stakeholders and suppliers to evaluate contract compliance, resolve disputes, and act as a liaison.
- Identify and develop new sources for services and materials, maintaining supplier relationships and performance standards.
- Ensure all contracts incorporate proper risk management, business case validation, and adherence to safety, insurance, and qualification requirements.
- Assist in workplace negotiations and support internal functions in contract negotiations, amendments, and extensions.
- Analyze and monitor financial impacts, cost savings, and performance metrics associated with contracts.
- Develop and implement procurement and contracting strategies, including RFPs, RFQs, and category management, to create value and meet organizational goals.
- Input, maintain, and test contract data in the ERP system, supporting system upgrades and data integrity.
- Promote procurement standards across the organization and support stakeholder training and development.
- Continuously identify opportunities to add value through contracting, cost control, and process improvement.
- Maintain professional communication, ensuring tact, courtesy, and clarity when engaging with internal and external parties
- Maintain a regular, dependable attendance and a consistently high level of performance.
- Maintain a high regard for personal safety, for the safety of company assets and employees, and the public.
- Other daily, weekly, monthly, or special project duties as identified and defined.
Education:
- Bachelor’s degree from an accredited institution in Supply Chain Management, Business, Engineering, Accounting, or a related discipline.
- A minimum of five (5) years of relevant direct work experience may be considered as a substitute for a degree.
- Minimum of three (3) years of direct experience managing IT software agreements, SaaS subscriptions, software licensing contracts, software renewals, or technology procurement contracts.
- Strong background in IT procurement, software contract administration, subscription-based software agreements, and technology vendor management.
- Experience negotiating Statements of Work (SOWs), software licensing agreements, maintenance agreements, SaaS subscriptions, and professional services agreements.
- Experience managing contract negotiations through redlines with vendors in coordination with legal teams.
- Experience administering and tracking software renewals, maintenance renewals, licensing compliance, and subscription lifecycles.
- Knowledge of software licensing models, cloud subscriptions, IT professional services, and vendor commercial structures.
- Experience working within enterprise IT organizations, shared service centers, or IT Centers of Excellence.
- Experience with Oracle ERP, Oracle Procurement Cloud, Oracle Financials, or similar ERP systems.
- Intermediate proficiency in Microsoft Office applications including Excel, Word, Teams, SharePoint, PowerPoint, and Outlook.
- Intermediate proficiency in Adobe Acrobat and contract management platforms.
- Must possess and maintain a valid driver’s license and a driving record satisfactory to the company and its insurers (for travel).
- Strong understanding of general service and materials agreements [IT Service and Material Agreements], with proficiency in preparing and managing various contract documents.
- Excellent negotiation, communication, and interpersonal skills, with the ability to articulate complex concepts effectively.
- Strong analytical and logical thinking skills to analyze financial impacts, project risks, and resolve complex issues.
- Detail-oriented with excellent organizational skills, capable of prioritizing and managing multiple contracts, renewals, and purchase orders under strict deadlines.
- Ability to work collaboratively within a team, follow directions, and adhere to work schedules and rules.
- Proven ability to perform multiple tasks efficiently, organize daily work, and monitor individual progress.
- Adaptable, with a focus on continuous improvement and adding value through contracting and procurement processes.
- Job level is commensurate with experience and skill sets, with a focus on results and strategic impact.
