Description:
Ensuring EPC Contractor completeness of mechanical systems monitoring and coordinating with the Projects team. The Mechanical Coordinator is responsible for monitoring and reporting on all mechanical construction activities. This role supports the Owner by ensuring field execution aligns with scope, schedule, quality, and safety expectations—while also generating clear, accurate, and timely daily site reports using Microsoft Excel, Outlook, and other standard tools.
Coordinator takes photos of in-progress work for inclusion in the daily site log and storage in the Project SharePoint archive. The Mechanical Coordinator takes direction and supports the Project construction manager while supporting the overall project success goals driven by the Project Manager. The coordinator ensures contractor and personal safety in all work activities.
Essential Functions:
Daily-
- Field oversight and verify various mechanical/civil/etc work. Advise contractor in of any defects that was discovered during such observations and in writing if not addressed.
- Track and document daily field activities for mechanical scope, including equipment installation, weld progress, inspections, and testing.

- Develop and maintain Daily Site Reports in Microsoft Excel, incorporating photo documentation, activity logs, labor hours, and key observations.
- Distribute reports through Outlook, managing distribution lists and version control.
- Use Microsoft OneDrive or SharePoint for uploading and archiving daily documentation.
- Oversee EPC Contractor project-related LOTO activities with coordination of the Integration Lead.
- Act as Owner representation on sign-off of mechanical work plans/schedules/quality.
- Coordinates quality inspections with the quality coordinator.
- Validate contractual performance compliance and technical adherence.
- Reviews and assesses commissioning schedule for achievability of critical milestones and adequacy of contingency plans, including float, alternate work plans, etc. Interface with Outage Management and Startup, as they also have related responsibilities.
- Validates Contractor's weekly construction work progress report, including earned values.
- Assesses the Contractor's construction performance against commitments made in the Agreement, site procedures, schedules, etc.
- Report any barriers to success in achieving key milestones and/or any recovery plans in place to mitigate barriers.
- Review contractor mechanical submittals and monitor field installation for compliance with technical specifications.
- Attend training provided by EPC Contractor and plant operations and provide feedback.
Daily –
- Attend Project POD Meeting – Update Team on happenings that impact the overall project.
- Attend Contractor Project POD Meetings – Discuss any concerns with the schedule or coordination needed.
- Debrief with the Construction Manager following the meeting.
- Include any noteworthy information in the Daily Site Log
- Track and document daily field activities for the mechanical scope, including equipment installation, weld progress, inspections, and testing.
- Develop and maintain Daily Site Reports in Microsoft Excel, incorporating photo documentation, activity logs, labor hours, and key observations.
- Distribute reports through Outlook, managing distribution lists and version control.
- Use Microsoft OneDrive or SharePoint for uploading and archiving daily documentation.
- Facilitate an update meeting with the Construction Manager and Project Manager.
- Prepare a weekly report of major activities.
- Must have worked for and Owner (preference on formal utility owner or municipality) on an EPC project
- Must have Mechanical/Other disciplines experience (10+ years) or related experience in power generation or heavy industrial projects.
- Must have ability to read P&IDs, site plans and equipment layouts, one-line diagrams, and other construction drawings.
- Communication Skills – Effective verbal and written communicator
- Microsoft Office Skills (Outlook/Word/Excel) – Proficient
- Capable of communicating (email or written report) internally with project staff and EPC contractor
- Capable of producing internal meeting notes and status of action items.
- Advanced Excel skills (e.g., formatting, filtering, formulas, charts, and pivot tables).
- Proficiency with Microsoft Outlook for email reporting and communication tracking.
- Working knowledge of SharePoint, OneDrive, or other document control systems.
- Ability to annotate images or PDFs for field observations (e.g., Snipping Tool, Adobe, or Paint).
- Familiarity with Microsoft Teams and scheduling tools (e.g., MS Project or Primavera P6 viewer) is a plus.
- Preferred – Experience with simple/combined cycle gas turbines
- GE 7FA.05 & GE / PES LM6000
