Job Description

Document Control Coordinator

Location: Tulsa, Ok

Description:

The Document Control Coordinator is responsible for organizing, tracking, transmitting, receiving, and archiving project documentation for industrial equipment projects. This position maintains accurate project document records, ensures customer and vendor documents are properly distributed, and assembles final project data books upon project completion.
The ideal candidate is highly organized, detail-oriented, comfortable working with engineering documentation, and capable of managing multiple projects simultaneously.

Primary Responsibilities
Document Control
  • Receive, log, and distribute incoming project documents.
  • Transmit engineering documents to customers, vendors, and internal personnel.
  • Maintain accurate document revision history and document registers.
  • Track document status throughout each project.
  • Archive superseded and completed project documentation.
  • Maintain organized electronic project files.
  • Ensure current document revisions are properly stored and accessible.
Project Documentation
  • Maintain project document logs using DocBoss.
  • Upload and organize engineering deliverables.
  • Track customer and vendor document submissions.
  • Monitor document due dates and outstanding items.
  • Assemble and maintain project documentation throughout the life of each project.
  • Build final Manufacturing Record Books (MRBs) and customer data books for project turnover.
Engineering Support
  • Work with engineering, project management, purchasing, quality, and production to collect required project documentation.
  • Verify documents are complete before distribution.
  • Assist with document retrieval requests.
  • Maintain document numbering and filing in accordance with company procedures.
Required Qualifications
  • Associate degree or equivalent work experience preferred.
  • Two or more years of document control or administrative experience in an engineering, manufacturing, fabrication, or industrial environment.
  • Strong organizational and time management skills.
  • Excellent attention to detail.
  • Ability to manage multiple projects simultaneously.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Experience working with PDF software.
Preferred Qualifications
  • Experience using DocBoss or similar document management software.
  • Familiarity with engineering drawings, fabrication drawings, bills of material, and engineering documentation.
  • Experience supporting industrial manufacturing, fabrication, or EPC projects.
  • Understanding of document revision control.

A successful Document Control Coordinator maintains organized and accurate project documentation, keeps document records current, ensures documents are transmitted and archived correctly, and delivers complete and accurate project data books at project closeout.
