Workday Payroll & Timekeeping Expert
We are looking for a Workday Payroll and UKG WFM Timekeeping expert to own the accuracy of hourly pay from the time clock through to the paycheck and the W-2. You will configure, support and improve UKG Workforce Management (WFM, formerly Kronos) timekeeping and Workday Payroll, and the integration between them. You will work with Payroll, HR, IT and Finance, and you will be the person the business turns to when pay rules, overtime or tax-law changes (such as the 2026 qualified overtime reporting under the One Big Beautiful Bill Act) need to be built, tested and explained.
Key responsibilities
UKG WFM timekeeping
- Configure and maintain pay codes, pay rules, accrual policies, work rules, shift differentials, rounding, schedules and timecard edits and approvals.
- Build and maintain overtime rules for federal (FLSA), state daily and weekly, union and policy overtime, so each type is calculated and tracked separately.
- Maintain the regular-rate calculation, including shift differentials, non-discretionary bonuses and multiple pay rates in one week.
- Manage time-clock and device setup, attestation and approval workflows, and period close.
- Configure and support Workday Payroll: earnings and deduction codes, pay groups, calendars, tax setup, retro pay, off-cycle runs and year-end processing.
- Run payroll cycles with Payroll operations, and resolve pay exceptions, calculation errors and employee pay disputes.
- Own W-2 setup and year-end reporting, including new boxes and codes (for example, Box 12 Code TT for qualified overtime) and W-2c corrections.
- Maintain withholding setup, including the 2026 Form W-4 changes.
- Own the UKG WFM to Workday integration: field mapping, pay-code mapping, file or API scheduling, error handling and reprocessing without duplication.
- Reconcile hours and gross pay between UKG WFM and Workday each cycle, and investigate variances.
- Build and support reports for Payroll, HR, Finance and Audit.
- Interpret and apply federal, state and local wage-and-hour and payroll tax changes, and translate them into system configuration.
- Write test plans and run unit, integration, parallel and regression testing for releases, tax updates and law changes.
- Support internal and external audits (SOX, wage-and-hour), keeping documentation of configurations and controls.
- Review Workday and UKG release notes, and plan and test the changes that affect pay.
- Act as the Tier 2 / Tier 3 escalation point for payroll and timekeeping issues.
- Document processes, train Payroll and HR staff and managers, and mentor junior team members.
Required qualifications
Candidates must have hands-on, production experience in both Workday Payroll and UKG WFM, not just one of them.
- Bachelor's degree in Accounting, Human Resources, Information Systems, Business or a related field, or equivalent experience.
- 5 or more years of payroll and timekeeping systems experience, including at least 3 years of hands-on Workday Payroll configuration and support.
- 3 or more years of hands-on UKG WFM (Kronos) timekeeping configuration, including pay rules, pay codes, accruals and timecard processing.
- Demonstrated experience with at least one full payroll cycle and one year-end (W-2) from Workday Payroll.
- Experience building or supporting the integration between UKG WFM and Workday, including pay-code mapping and reconciliation.
- Working knowledge of US wage-and-hour rules: FLSA overtime, regular-rate calculation, state daily overtime and meal and rest-break rules.
- Working knowledge of US payroll tax: federal, state and local withholding, supplemental wages and year-end reporting.
- Experience writing test plans and running unit, integration, parallel and regression testing.
- Strong analytical skills and the ability to reconcile large data sets in Excel or a similar tool.
Preferred qualifications
- Workday Payroll certification, or Workday Pro certification in Payroll or Time Tracking.
- UKG WFM certification (for example, UKG Pro WFM / Workforce Central timekeeping).
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) from the American Payroll Association.
- Experience with Workday integrations (EIB, Workday Studio, Core Connectors) or UKG Integration Designer / Boomi.
- Experience in union, multi-state or shift-based workforces, such as oil and gas, energy, manufacturing or healthcare.
- Experience with Workday and UKG release testing, and with SOX or audit controls over payroll.
- Experience with 2026 federal changes, including qualified overtime and tips reporting, the new W-2 Box 12 and Box 14 codes, and the revised Form W-4.
Skills and competencies
- Accuracy and attention to detail: catches small rule or mapping errors before they reach a paycheck.
- Problem solving: traces a pay discrepancy from the punch to the timecard, the integration file, the pay result and the W-2.
- Communication: explains pay rules and system changes clearly to Payroll, HR, managers and auditors.
- Ownership: manages deadlines in a payroll calendar and supports cutoffs and off-cycle fixes.
- Collaboration: works with IT, vendors (Workday and UKG support), Finance and Legal.
- Confidentiality: handles sensitive pay data with discretion and follows company data-handling policies.
