Job Description

Service Coordinator

Location: Tomball, TX

Description:
Managing/Dispatching field technicians which includes but not limited to:

  • Receiving and logging all field service calls in SAP
  • Field after hour calls and dispatching techs as needed.
  • Creating and updating the schedule as needed
  • Designating and dispatching technicians, planning each techs day while considering available hours, urgency of call, and technician qualification
  • Use GPS tracking system to efficiently schedule technicians
  • Scheduling all field service truck repairs / maintenance and outside repairs which includes communicating with all outside vendors regarding any necessary repairs / maintenance
  • Schedule and dispatch for all training, such as Houston Safety Council, all safety training, and customers site specific training
  • Plan and schedule Service Agreement jobs in advance.
  • Communicating with customers to provide tech’s ETA, parts status, job status, Etc.
  • Creating, updating, and closing work orders for each service call in SAP
  • Collecting all paperwork daily to ensure correct data entry for each work order
  • Responsible for changing and maintaining Work Order status in SAP
  • Maintaining constant communication between technicians to ensure that all jobs are completed efficiently and that their time is being used wisely
  • Providing all techs with purchase orders while on field jobs
  • Responsible for communicating between the parts department and techs on the status of parts
  • Email service tickets as requested
  • Research history for service work as needed
  • Review utilization / time entries daily and make corrections / follow-up with techs as needed
Quoting:
  • Create estimate as needed for recommended repairs, one time PM’s, troubleshooting calls, Etc.
  • Collect quotes for parts, labor, and outside repairs
  • After quotes are generated, handle all correspondence between the customers, sales team, supervisor, and collect purchase orders/approvals for quotations
Invoicing:
  • Once technician completes the Work Order, review for proper and accurate labor hours, trip charges, parts Etc. Post/Close job and present invoice for accounting to submit to customer
  • Invoice Contract PM jobs (Cost Purposes)
Oil Samples:
  • Receive, Review, and Save. Action required oil samples -research what type of PM was performed any if any further action is required
Rental Equipment:
  • Provide quotes for customers on rental equipment
  • Track and Invoice units out on rent
  • Keep up with maintenance and repairs as needed
Warranty Claims:
  • File Warranty Claims and field questions as needed to complete claim
