Description:
The Project Administrator / Document Controller takes direction from and supports the Project Manager and Construction Manager while coordinating closely with project controls, startup/commissioning, engineering, contractors, and plant operations. The Project Administrator / Document Controller is expected to work primarily in Microsoft products especially SharePoint, Outlook, and Teams to support the team in this role.
Essential Functions:
Daily-
- Coordinate with the Construction Manager, discipline coordinators, startup/commissioning, engineering, and contractor scheduling personnel.
- Maintain meeting notes, action items, progress narratives, and supporting documentation sufficient to explain schedule status and changes.
- Maintain accurate electronic project records for Engineering, Project Management, and Construction.
- Check drawing and document lists against received deliverables to identify missing or incomplete documentation.
- Maintain current drawing and document registers as requested by Engineering and Project Management.
- Assist with document version control to ensure project personnel are working from the appropriate information.
- Prepare and issue document transmittals and maintain accurate transmittal logs.
- Support the organization and retention of project records required for final turnover to OG&E Operations.
- Participate in daily project coordination meetings and impacts requiring project-team attention.
- Attend project, engineering, construction, EPC, and coordination meetings as requested.
- Prepare draft meeting minutes capturing key discussions, decisions, responsibilities, and action items.
- Maintain action-item logs and track outstanding items through completion.
- Print work packages as needed to support contruction coordinators.
- Follow up with responsible project team members on upcoming or overdue actions.
- Distribute approved meeting minutes and maintain organized meeting records within SharePoint.
- Help ensure commitments made during project meetings are documented and visible to the appropriate stakeholders.
- Report barriers to success, required decisions, and recommended mitigation or recovery actions.
Daily-
- Attend OG&E Project POD meetings (0800) and provide updates on conditions affecting overall project execution.
- Debrief with the OG&E Construction Manager and Project Manager on significant changes observed.
- Coordinate directly with field personnel to confirm progress and upcoming work.
- Attend and document action items in the EPC Contractor’s weekly update or progress meetings.
- Ensure field personnel have PPE and office supplies to support execution activities.

- Must have direct experience scheduling EPC, power generation, or heavy industrial construction projects.
- Interface professionally with EPC contractor and subcontractor personnel regarding documentation and administrative requirements.
- Assist with tracking contractor and subcontractor document submissions.
- Must be capable of independently reviewing contractor P6 files and identifying logic, progress, sequencing, and forecast concerns.
- Must have document control experience and ability to locate drawings from the project archive.
- Must be willing and able to maintain a full-time site presence.
- Must be able to read and interpret engineering drawings, construction work packages, and other design documents to prepare construction coordinators in the field.
- Effective verbal and written communication skills.
- Capable of producing concise schedule narratives, meeting notes, milestone reports, look-aheads, and action-item status.
- Working knowledge of Microsoft Outlook, Word, Excel, Teams, SharePoint, and OneDrive for communication, reporting, and document control.
- Strong SharePoint experience is preferred
- Preferred: experience with simple-cycle or combined-cycle gas turbine projects, including construction, outage integration, startup, commissioning, and system turnover.
- Preferred: experience with GE 7FA.05 / GE 7HA.03 / PES LM6000 projects.
- Longer-term placement opportunity (potentially through 2029).
- Position requires routine on-site presence at the project location.
- Flexible schedule based on project needs.
- 5-8s expected / as needed to support weekend, outage, or critical schedule activities.
- Per diem available, if applicable under assignment terms.
- Comply with all OG&E and project-site safety, access, PPE, and field-observation requirements.
- FR clothing required post-energization.
- Owner-side project administration.
- Power generation or heavy industrial EPC project experience.

- Organization & Attention to Detail
- Must be highly organized and capable of maintaining accurate project records across multiple workstreams without allowing documents or action items to fall through the cracks.
- Construction Project Awareness
- Should understand how Engineering, Project Management, Construction, EPC contractors, and subcontractors interact on a major capital construction project.
- Communication
- Must be comfortable communicating with everyone from administrative personnel and field contractors to engineers, construction managers, and project leadership.
- Follow-Through
- This role requires someone who will actively track outstanding items, follow up with responsible parties, and drive documentation to completion rather than simply recording information.
- Document Discipline
- Must understand the importance of revision control, accurate filing, document traceability, and maintaining a reliable project record.
- Team-Oriented Approach
- Must be comfortable working as part of a fast-moving onsite project team and shifting priorities as Engineering and Construction needs evolve.
- Work Environment
- Onsite position at the Horseshoe Lake project.
- Works directly alongside OG&E Project Management, Engineering, Construction, and project support personnel.
- Regular interaction with EPC contractor and subcontractor teams.
- Position will support an active power-generation construction project with changing priorities as the project progresses through engineering, construction, commissioning, turnover, and closeout.
- Must be comfortable working in a professional project-office environment located within or adjacent to an active construction site.
