Job Description

Information Management (IM) Coordinator

Location: Houston, TX - Hybrid

Summary:
Support the Project team in managing information management activities (data and documents).  

Responsibilities:

Project Support

  • On-board and Off-board new team members

  • Create training materials for IM systems and update as needed

  • Administer internal and external SharePoint sites

  • Quality reviews on engineering deliverables (IFA, IFC, IFF, etc.)

  • Technical writing and reviewing


User Management and Support

  • Manage user access and requests

  • Train users as needed on access to project systems

  • Provide support to users to ensure system access

  • Link people to information sources (maintain IM source list)


Data Management

  • Quality review on data from multiple sources (contractors, vendors, etc.)

  • Ensure systems are maintained as data is developed between engineering firms, fabricators and handover to COPA

  • Support data verification and validation activities

  • As-built Processing

  • Run AutoCAD QC check routine

  • Process drawings in SAP (or other systems)


Engineering Support

  • Maintain SharePoint and websites hosting facility engineering standards

  • Format documents to comply with Willow template standard

  • Assign numbers for new standards, deviations, and adaptations; publish on SharePoint site and transmit to contractors

  • Transmit documents and data to contractors 

  • Maintain numbering systems


Requirements

  • Bachelor’s degree or equivalent experience

  • Experience supporting a variety of users in either an Information Management, IT or customer service environment

  • Ability to learn and train users in a variety of software tools

  • Must be detained-oriented

  • Proficient in Microsoft Business Tools (Microsoft Access DB skills helpful)

  • Strong technical writing skills and experience

  • Experience with software training tools, document management systems and databases
