Executive Assistant
Location: Tulsa, OK
Description
Coordinates and maintains calendar to ensure that high-priority objectives are accomplished; scheduling includes factors and requests from Tulsa community leaders, heads of companies, and outside boards the Executive Leader works with.
Reschedules meetings and appointments when necessary with little or no direction when required without interfering with business objectives; acts as communications liaison bank-wide.
Makes frequent routine and complicated decisions on the Executive leader’s behalf pertaining to external and internal incoming mail and phone calls; ensures follow-up on external and internal appointments and correspondence.
Often times serves a liaison between the company and the Executive leader’s time is spent on matters of great significance.
Initiates organization of upcoming customer events/trips.
Prompting on invites, preparing and handling agenda information, maintain files on event history for future opportunities.
Extends invitations on ELT’s behalf for entertainment in written form and via telephone communication.
May manage one or more Administrative Assistant.
Manages the workflow, tasks for the day and duties to be performed for special events.
Performs special projects as assigned; assists Executive leader with executive-level employment offers in preparation of offer materials.
Experience
5-7 years of executive-level administrative experience or 10-15 years of equivalent work experience
Must have experience taking meeting minutes
Comfortable with working primarily digitally (no pads and paper)
Must have strong critical thinking skills, able to quickly and effectively provide valuable answers to questions or provide effective solutions
Strong verbal, written, and impeccable organizational skills are required
Expert negotiating skills to handle quick-paced scheduling and projects with a high level of detail orientation
Must have complete knowledge of booking domestic travel at an executive level
Must be extremely familiar with Google calendar scheduling and have experience managing a complex calendar in multiple time zones
Maintain a high level of integrity and ethics
Demonstrate ability to initiate, plan, prioritize, and organize multiple projects
Must be able to work independently with little or no supervision
