Description:
The Borger Refinery is looking for an experienced Administrative Assistant to support their Maintenance Department. This individual will report directly to the Sr Superintendent of Maintenance and Sr Director, Maintenance. While primary job functions will support routine maintenance administrative duties, someone with Document Control ability is desired. The ideal candidate will bring excellent written and verbal communication skills, proficiency in Microsoft Suite including the ability to navigate Outlook, as well as SAP experience.

- Must be 18 years old
- Must be willing and able, with or without reasonable accommodation, to comply with the following:
- Travel up to 5% (local travel for office suppliers, lunch pick-ups, etc)
- Operate company vehicle on site premises and/or public roads up to 10%
- Work extended hours, which may include evenings, weekends, and holidays, and perform occasional duties.
- Transport articles up to 50 pounds
- Wear fire retardant clothing and personal protective equipment.
- High School Diploma or GED equivalent
What Makes You Stand Out – Preferred:
- 3-5 years of administrative experience
- Working knowledge of Microsoft Suites (Outlook, Word, Excel, PowerPoint, SharePoint)
- Excellent written and verbal communication skills
- Excellent organizational and time management skills
- Ability to work independently and handle multiple tasks simultaneously
- High level of discretion and confidentiality
- SAP experience although can be trained for the right candidate.
- Maintain Maintenance Director’s Calendar Maintain Maintenance Supervision Vacation Calendar
- Maintain RMWP Recurring Meeting Schedule and Calendar Arrange lunches and training classes as required for the Maintenance Department
- Arrange anniversary and retirement celebrations for the Maintenance Department Arrange travel as needed for the Maintenance Department
- Manage office supplies for Maintenance Department Satellite Shops
- Manage office needs (IT requests, facilities work requests, etc.) for Maintenance Department and Satellite Shops
- Maintain and update Maintenance Dashboards and Metrics Reports
- Oversee and Maintain Document Retention and Management (DRM) for Routine Maintenance documents and file locations
- Update daily schedule delay codes in SAP, daily Maintain Planning and Scheduling Staff meeting minutes
- Backfill for Contract Management Data Analyst as needed
- Assist Contract Management Data Analyst as needed with annual standing work order creation and purchase order requisitions
- Perform other tasks as assigned by supervisor
