Description


Project Administrative Assistant provides essential support to project managers and teams by handling administrative tasks that ensure projects run smoothly. They manage documentation, schedule meetings, prepare reports, and maintain project files, contributing to the overall efficiency and success of the project. 

Key Responsibilities:
  • Documentation:
  • Creating, organizing, and maintaining project documents, both digital and physical, ensuring they are easily accessible. 
  • Scheduling & Meeting Coordination:
  • Managing calendars, scheduling meetings, and coordinating logistics for project-related events. 
  • Communication:
  • Handling incoming and outgoing communications, including emails, phone calls, and other correspondence, and potentially acting as a liaison between team members and management. 
  • Report Preparation:
  • Assisting in the preparation of project reports, presentations, and other documentation. 
  • Data Management:
  • Entering, tracking, and managing project data, potentially using databases or other tools. 
  • General Administrative Support:
  • Providing general administrative support to the project team, such as ordering supplies, managing petty cash, and coordinating travel arrangements. 
  • Resource Management:
  • Assisting with resource allocation and tracking, ensuring that the project has the necessary resources to meet its goals. 
  • Progress Tracking:
  • Monitoring project progress, identifying potential issues, and assisting in the development of solutions. 
  • Meeting Support:
  • Preparing materials for meetings, taking minutes, and following up on action items.  Skills:
    • Organizational Skills:
    • Strong ability to prioritize tasks, manage multiple projects simultaneously, and maintain organized records.
  • Communication Skills:
  • Excellent written and verbal communication skills for interacting with team members, stakeholders, and external parties.
  • Technical Skills:
  • Proficiency in relevant software, such as Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and project management tools.
  • Attention to Detail:
  • Ability to accurately track data, maintain records, and ensure the quality of project documentation.
  • Problem-Solving Skills:
  • Ability to identify and resolve administrative issues that may arise during the project lifecycle.
