Expeditor

Location: Santa Ana, CA

Description


The key responsibility focuses on the strategic post-order management, PO follow-up, and expediting of suppliers, as well as preparing reports related to on-time delivery, delay analysis, and updating PO delivery dates as requested by management. The expeditor is accountable for the on-time delivery of parts and documentation in conformity with purchase order specifications. Furthermore, they ensure documented order close-out, including but not limited to shipping/receiving discrepancies, invoice discrepancies, contributing to increased back charges related to cost deficiencies, and providing support to claims management.

Essential Duties and Responsibilities:
  • Comply with Project Order Management/Expediting Procedure based on supplier, critical parts, and critical suppliers.
  • Determine critical equipment with regard to delivery dates.
  • Monitor and support kick-off meetings with suppliers.
  • Participate in pre-inspection meetings for critical equipment if required.
  • Monitor purchase order delivery dates (via email, phone calls, etc.) and report any nonconformity to delivery time or purchase order requirements. Raise alerts to the projects/planning team when delays are detected.
  • Conduct expediting visits to suppliers, reinforce expediting for failing suppliers, and raise alerts to the project when delays are detected.
  • Compile and issue expediting visit reports and meeting minutes with suppliers.
  • Proactively monitor all supplier activities from design development, material procurement, manufacturing, testing, and shipping preparation.
  • Review vendor progress reports and fabrication schedules; raise alerts to the project in case of deviations.
  • Interface with suppliers, engineering, and inspection departments to monitor VDDR or other technical queries delaying production and expedite replies.
  • Monitor and address delayed critical vendor documentation from suppliers based on document status by Document Control.
  • Follow up with suppliers on open points/punch lists in cooperation with various disciplines.
  • Manage third-party agencies.
  • Identify potential areas of concern or delays with deliveries and initiate corrective actions.
  • Collect recovery plans from suppliers and support plan review by the company.
  • Enter tracking data and update progress management tools (Dashboard or SAP database) based on project requirements.
  • Compile and issue monthly expediting reports following guidelines.
  • Manage and collect all relevant information such as schedules, actual progress, and deficiencies. Maintain a claim dossier for each PO and support the claim leader in negotiating claims with suppliers.
  • Ensure appropriate commercial/contractual notifications are in place (in collaboration with Buyer).
  • Provide input to post-order supplier performance evaluation.


Education:
  • Bachelor’s degree in business, purchasing, engineering, or 5+ years of relevant buying/expediting/post-order management/supply chain experience.
Experience:
  • At least 2–3 years of relevant experience in a manufacturing environment.
  • Experience working with machining, castings, and raw materials suppliers.
  • Excellent computer skills (Excel, Microsoft Word, PowerPoint, G Suite).
  • SAP knowledge.
  • Critical thinking and strong analytical skills.
  • Strong written and verbal communication skills.
