Job Description

Traffic Coordinator

Location: Old Ocean, TX

Description
  • Check for the printer for any new orders on trucks or rail cars.
  • Check emails for changes. This is a daily task.
  • Create Customer Specific COAs for tanks 16, 18, & 402 and the Iso-Butane and BB Mix Tanks for the truck billing office before 7am.
  • Create Customer Specific COAs for tanks 16, 18, & 402 and Iso-Butane and BB mix for rail cars shipping.
  • Check inventories against trucks and rail cars loaded to make sure tank gauges are right.
  • Check Sulfur level. If level is high, then ask carriers to pick up extra loads
  • Watch sulfurs level all day long in between deadlines.
  • Check tank car list for what was loaded and unloaded the night before.
  • Monitor incoming dedicated customer rail cars, Solvents and NGL fleet cars, monitor all inbound and outbound railcars. Check inbound train list from PSC to see what came in.
  • Check all cars RailTrac to see what their last contents or current contents are, this can take up to an hour depending on how many cars are coming in.
  • Create daily railcar switch list for SGS rail switching crew and confirm appropriate cars are spotted on the Tank Car Rack to meet daily loading and unloading target, communicate with Product Control group. (scheduling is based on orders on hand and available rail cars & inventory).
  • Send e-mail out for the switch to the UPRR group, Cars placed, and to lab for COAs for CPC cars that were loaded to the lab.
  • Send e-mail to lab notifying them to send propylene bombs to tank car rack (how many to send).TCR Duties
  • Call in to morning Pulse meeting @ 7:00am.
  • Make any necessary changes in SAP (if truck billing office has any SAP errors) — needs to be done before 9am — so the changes get transferred to FTZ from SAP @ 9am if changes do not get made before 9am – you have to contact product accounting so they can manually enter changes into their FTZ and Sigmafine system – and run a new SAP recap for product accounting.
  • Process bill of ladings in the SAP system daily – Enter each rail car that is to ship into SAP & UP website by due to deadline is at 9:30am – and all billed cars have to be in the UP system by 9:30am or they will not pick up cars.
  • Check UP website to make sure billings are accepted – or the RR will not pull the cars when they get here.
  • Check each bill of lading for errors and hazmat information
  • Make copies and the originals file away. Copies are going to be used later.
  • Calculate volumes on all rail cars loaded and unloaded the night before due to no meters or scales – all rail cars have to be calculated by the gauge on the rail car manually and entered into spreadsheets for volume amounts. This means looking up on-line for the information on outage tables.
  • Create orders for BB Mix and Iso-Butane trucks when we are loading product for outside sales
  • Monitor and maintain rail car maintenance report – shop or have a mobile crew come out to repair car or cars before shipping also send e-mails to Borger solvents group on solvents cars that have heels or measurement issues or to corporate transportation on the disposition of cars that need maintenance.
  • Empty out the spreadsheets after they have been emailed out so the TCR can start on the paperwork for the night.
  • Match up the car inspection reports with the spreadsheets on the rail cars.
  • Create tank car list for today.
  • Update the railcar storage track list.
  • Send out emails for the tank car list.
  • Manage production and inventory reports. Enter calculated volumes into rail inventory spreadsheet for product accounting for Sigmafine and FTZ.
  • Send unloaded rail car spreadsheets to product accounting.
  • COAs for specific customers for cars that were billed out and shipped today will need to have the information from the BOL to be put on the COA at the bottom.
  • COAs should be in S-traffic. The COAs will need to have the information from the BOL to be put on the COA at the bottom.
  • Scan and send in an email the BOLs and COAs to the customers.
  • Pull and check sulfur truck orders against SAP recap to make sure all trucks shipped the day before.
  • Calculate sulfur volumes for sulfur spreadsheet.
  • Create Sulfur inventory and production notes for daily email.

After morning deadlines have been achieved
  • At least once a week – get a physical list of cars stored in the yard, this is mandatory. PSC does not keep up with our yard list and they do not tell us where they put the cars on a daily basis. PSC has their own yard list that we match ours up too. This takes a minimum of 2 hours if there are 2 people doing the check it may take less depending on the numbers in our storage. The tracks have to be walked to log the cars.
  • Create outage tables with Intellitrans program for all cars that need outage tables done for rail cars loading tonight — cannot load cars without a proper outage table.
  • Add outage tables and new cars to the outage table program — so we can safely load customer cars.
  • Work on any rail or truck issues / loading / shipping issues – these are daily 8-10 per day.
  • Create sulfur orders — these need to be a week in advance at all times — transport companies have to have all orders 48 hours in advance this takes approximately 1 to 2 hours per day – for update orders per day.
  • Work on sulfur schedule when you get time – juggle customers? needs / equipment availability / production rates / contract agreements — trader’s approval— and daily customer’s changes.
  • Scan and e-mail sulfur orders to Groendyke, Sprint, Savage and Martin Transport.
  • Keep up with drivers security for all trucking companies: Groendyke, Sprint, Martin Transport, Savage, Winne. Responsible for each driver to obtain Brazoria County Safety Council and onsite truck loading and unloading training in our facility – so drivers can obtain picture id badges – so no escort is necessary for the drivers on crude oil deliveries, hexane, Iso-pentane and sulfur sales.
  • Enter all truck orders on calendar for inventory purposes. Email updates to Landeros
  • File all paperwork for the day: DOT Regulations
  • Mandatory 2yrs on the floor in my office for audits.
  • Responsible for all corrections in SAP for the truck billing office, rail shipments, truck shipments.
  • Responsible for truck scales quarterly calibration
  • Work on any rail or truck issues / loading / shipping issues. (if any)

After hours
  • On call 24/7 customer contact for any problems with sulfur trucks or rail car loading / unloading/ delivery, etc.
  • Any issues with sulfur that may come up.
    • Either customers dropping loads and we must send loads somewhere else.
    • If the carrier needs extra loads, we send them extra orders.
    • Carrier trailer plugs up we must send them somewhere to get steam on it.
Other
  • Interface with Product Accounting group, Stock Dispatch and other company sites for various truck companies and is one of the primary points of contact for  Refinery logistics.
  • Responsible for training new hires for traffic coordinator
  • Attend weekly Solvent meeting
  • Audits with HQ
